Overtime is the labour cost that most often catches operators off guard. A rota that looks affordable on paper quietly grows during the month: someone covers a sick colleague, a delivery runs late, a busy weekend needs one more pair of hands. Each of those hours is paid at a multiplied rate, so the gap between the planned wage bill and the real one widens with every unplanned shift. By the time payroll is processed, the surprise is already locked in.

This calculator answers one question quickly: what does a period of work actually cost once overtime and night hours are priced in? You enter an hourly rate, an overtime multiplier and a night multiplier, then split the hours worked into three buckets — regular, overtime and night. How do overtime multipliers typically work?

An overtime multiplier expresses how much more an extra hour costs compared with a regular one. A multiplier of 1.5 means each overtime hour is paid at 150% of the base rate; 1.25 means 125%; 2 means double time. Across industries you will commonly see patterns such as 1.25x for the first block of extra hours, 1.5x beyond that, and 2x for exceptional cases like public holidays — but the exact figures are not universal.

The multiplier that applies to your team depends on your country and your collective agreement, and sometimes on the employment contract itself. Some agreements let you compensate overtime with paid time off instead of money, or set different multipliers for weekday and weekend overtime. How do night premiums usually work?

Work performed during night windows is often paid above the normal rate, either as a percentage uplift on the base rate or as a fixed supplement per hour. This calculator models the percentage approach: the night multiplier is applied to the full hour, so a multiplier of 1.25 values each night hour at 125% of the base rate. If your rules express the premium as an uplift — for example “plus 25%” — enter it as 1.25.

What counts as a night hour, and how large the premium must be, again depends on your country and collective agreement. Some frameworks also limit how many night hours an employee may work in a period or require health checks for permanent night workers, which affects how much night work you can schedule in the first place.

How should you budget for overtime?

The healthiest way to budget overtime is to make it explicit instead of treating it as noise. Decide what share of total hours you are willing to pay at premium rates — many operators aim to keep it small — and cost it at the multiplied rate, not the base rate. Ten overtime hours at 1.5x cost the same as fifteen regular hours, so a budget that prices them at 1x will always undershoot.

Run the calculator with your realistic monthly pattern, then with a pessimistic one: what happens if absences double, or if a seasonal peak adds night shifts? The difference between those two totals is your overtime exposure. Worked example: 160 regular hours, 10 overtime, 20 at night

  1. Base rate: €12 per hour. Overtime multiplier: 1.5. Night multiplier: 1.25.
  2. Base pay: 160 regular hours x €12 = €1,920.
  3. Overtime pay: 10 hours x €12 x 1.5 = €180.
  4. Night pay: 20 hours x €12 x 1.25 = €300.
  5. Total: €1,920 + €180 + €300 = €2,400.

Result: The period costs €2,400 in gross pay. The 30 premium hours account for €480 — €120 more than the €360 they would cost at the base rate, which is exactly the extra cost the multipliers introduce.

Frequently asked questions

Which overtime multiplier should I enter?

The one defined by your own rules. Multipliers depend on your country and collective agreement, and sometimes on individual contracts. Common patterns are 1.25x, 1.5x and 2x, but the calculator applies whatever value you type — it does not assume any legal rate.

Does the calculator apply the legal rates of my country automatically?

No. It is a generic costing tool: it multiplies the hours you enter by the rates and multipliers you enter. Always check the minimums that apply to you in your national rules and collective agreement before using the result for payroll decisions.

How are night hours calculated here?

Each night hour is paid entirely at the base rate times the night multiplier. With a rate of €12 and a multiplier of 1.25, a night hour is worth €15. If your agreement expresses the premium as an uplift, such as plus 25%, enter it as 1.25.

What if an hour is both overtime and at night?

The three buckets are independent, so each hour should go into exactly one of them. For hours that attract both premiums, a practical approach is to put them in a single bucket and enter a combined multiplier that reflects how your rules stack the two premiums.

Can I use a currency other than euros?

The results are displayed with a euro symbol, but the arithmetic is currency-agnostic. Enter your rate in your own currency and read the outputs as the same currency — the proportions and totals are identical.

Does the total include employer taxes and social contributions?

No. The calculator estimates gross pay for the hours entered. Employer contributions, insurance and other on-costs vary by country and should be added on top to get the full cost of employment.
